Job Description
Provide support to CD & GM on various management and administration processes as directed. Provide cover in key roles as directed by CD & GM. Provide support to clients and other external entities as directed by CD & GM. Provide support to all internal departments and functions as directed by CD & GM
Co-ordinating Maintenance Activities for Safety Technicians, preparing maintenance and sales job costing and submitting quotations. Arranging the prompt submission of job reports and quotations to the client and ensuring the timely close out of corrective actions. Participate in clients meetings including HSE discussions. Procurement of spare parts for maintenance jobs, and any other services/activities as directed by the General Manager, all to applicable procedures and standards as required by Company.
Key Areas of Responsibility:
Health, Safety, Environmental and Quality
- Carry out work activities in accordance with all HSEQ requirements and procedures
- Conduct yourself in a safe manner and in a manner to protect the safety of others
- Carry out personal risk assessments and any other health and safety requirements to ensure personal safety
Operational Responsibilities
- Handling orders, calls, emails, messages
- Answering customer queries, informing them of delays, arranging delivery dates, submitting the orders
- Preparing Invoices, Invoice packs, Job packs, Job folders, all type of Site folders
- Updating server according to the hard files, documentation
- Assisting team members upon management’s approval
- Inputting orders, ensuring they are processed according to customer requirements, and ensuring all orders are accurate and delivered on time.
- Collaborating with other departments to ensure sales, queries, and deliveries are handled efficiently.
- Maintaining filing systems, folders, sales records
- Supporting the organisation and management of Company, offshore workforce, ensuring competence of the service Teams to meet the ongoing work schedules
- Support the organisation and management of Company, subcontractors, ensuring competence of subcontractor teams to meet the work scopes
- Provide a key functional support role in site productivity, data analysis, problem solving and improvement/innovation programs, and to bring capabilities to support operations in all aspects of delivery (general, campaign)
- Ensure all work activities are completed in accordance with procedures and in compliance with client requirements
Administrative / Leadership Responsibilities
- Complete all required information on required documentation in accordance with procedures
Competence Assurance System Responsibilities
- Ensure assessment induction process and checklist are completed in accordance with procedures
- Actively participate in the Competence Assurance System to confirm personal competence within job role in accordance with procedures
- Participate in the performance appraisal process in accordance with procedures and within agreed timescale
- 12 Month Rolling Contract As Per Labor Code
- Monthly Gross Salary is 2,244.07 AZN
- Probationary period 3 months
- Working Hours 0830-1730 Monday to Friday
- Lunch break is one hour 1300 -1400 (can vary subject to operational requirements). Meal breaks are not included in working hours
