Pasha Bank OJSC is looking for a candidate to join the team as Executive Assistant to CEO.
SCOPE OF POSITION/ STRATEGIC RESPONSIBILITY:
• Reporting directly to the CEO, the Executive Assistant provides executive support in a working relationship
• The Executive Assistant serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the CEO
• The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts
FUNCTIONAL RESPONSIBILITIES:
• Support and provide guidance to the CEO, working closely with the Board Members, line managers to manage the Bank’s vision and strategic tasks balancing and prioritizing conflicting demands
• Arrange and guide the meetings and provide briefing and background information for the CEO for all meetings, internal & external
• Takes notes and distributes meeting minutes, agendas and meeting packages
• Meeting and greeting visitors at all levels of seniority
• Completes a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
• Plans, coordinates and ensures the CEO's schedule is followed and respected
• Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.
• Review and control all documents prior to presenting to the CEO’s signature and attention
• Dealing with incoming emails and letters, often corresponding on behalf of the manager
• Monitor and follow-up the orders issued by the CEO and report the outcomes of the orders and its impacts to the CEO
• Develop the international relations database of the CEO and coordinate them with the Corporate Communication Department to build the strong relationships with the Bank
• Work closely with PASHA Bank Offices in Turkey and Georgia to ensure the CEO has full information about his commitments
• Control and manage all documents provided to the CEO by the PASHA Bank Offices in Turkey and Georgia
• Manage all preparatory activities to ensure the CEO’s participation at the international and regional events
• Provide detailed preparation for the CEO ahead of media interviews and press conferences
• Monitor local and international media and provide regular briefings on issues impacting on or likely to impact on and overall interest in Bank
• Develop strong relationships with the senior Directorates to facilitate communication and effective decision making
• Regularly liaise with the CBAR, Financial Public Palate, ABA, AmCham and wider government officials to maintain and strengthen the CEO’s strong relations with the government bodies
• Develop the database of the key government officials and manage better communications of the CEO with the key bureaucrats and government officials
• Manage and regularly update the CEO Corner and CEO Newsletters
• Manage the CEO’s protocol works
SKILLS:
• At least 3-5 years of experience providing support at high level
• Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
• Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors
• Expert level written and verbal communication skills
• Demonstrated proactive approaches to problem-solving with strong decision-making capability
• Emotional maturity
• Highly resourceful team-player, with the ability to also be extremely effective independently
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
• Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
• Forward looking thinker, who actively seeks opportunities and proposes solutions
